Mish Mash identifies three separate groups of users, and defines how data for those involved in each group is managed.
The groups are:
- Those on the Waiting List
- Those currently attending classes
- and Those who used to come along to the classes
WAITING LIST
Everyone who has joined the waiting list, has filled in an electronic form specifically for the purpose of being informed about vacancies, or upcoming vacancies in the classes.
What do I use your data for?
I use your data SOLELY for the purpose of sending you emails and SMSs about booking for upcoming classes or to offer you space in a class if one becomes available in the middle of a term. Your data will be used for no other purpose and you won’t receive any emails from me on any other subject.
Your mobile number and email allow me to contact you to let you know about spaces, or upcoming bookings. The data included on your form includes your child’s date of birth so that I can offer you a space in the correct class for your child’s age.
How is it stored?
I keep all the data only in electronic form, on a secure platform. Nothing is kept on paper, and everything is stored in secure services, not on my personal computer. I use MailChimp as my mailing list provider: the information that you provide will be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms.
What happens to your data when you join a class?
When you join a class, the data from the waiting list is not transferred to your records as a current member of the classes. The data held about you as a current member is filled in by you on your booking form. To find out what we do with that data, please see: Current Members Privacy Policy.
How long is your data kept?
As it says on the emails you receive which offer you the chance to book a space in upcoming classes, you will stay on the list automatically, unless you unsubscribe, until your data is five years old at which point your records will be deleted. The reason data is kept for five years is that the classes are suitable for babies from 6 months – 5 years, and so you may well want to sign up to a class within 5 years of having joined the waiting list. It doesn’t make sense to keep your data any longer than this, unless you ask me to.
Rights in relation to your data:
As well as being able to unsubscribe, you have the right to view your record, or ask for your record to be deleted at any time, and Mish Mash Music will do this for you within one month.
CURRENT MEMBERS
When you book for the class, you provide me with data (mobile number, photo consent, email, your name, your little one’s name and date of birth). I also keep a record of your previous bookings.
What I do with that data?
I send texts and emails to let you know any changes to classes, or any other relevant information you need to attend the classes. I also send reminders about holidays, and sometimes might ask you to write me a recommendation, and I send you emails towards the middle of term, to offer you the chance to keep coming to the classes by sending you the priority rebooking information. All of the information I send you is about the current class you are attending.
I do not use it for anything else and I do not share the data with anyone.
Date of birth data:
I use the Date of Birth information to let you know if your child is eligible to move up to the older class, and to plan my teaching to make sure that your child’s age range is catered for.
Payment data:
I cannot view or directly access your payment data (credit card number etc.) although it is saved encrypted in a secure system via Bookeo (my booking system) and Stripe (my payment system that is integrated with Bookeo) so that I can refund you for any missed classes without having to ask for your bank details. Both Bookeo and Stripe are GDPR compliant.
How is your data stored?
I keep all the data only in electronic form, on secure platforms. Nothing is kept on paper or on my personal computer. I use MailChimp to send you emails: the information that you provide will be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms. I use Bookeo to take bookings: again your information will be stored by Bookeo for processing in accordance with their and Terms. I use Stripe to take payments, and the payment data is processed according to their Privacy Policy & Terms.
What happens to your data when you are no longer attending the classes?
Because this email list is SOLELY to let you know about current classes, and rebooking for next term, you will not hear from me after you’ve stopped coming to the classes via this list, unless you choose to opt-in to Mish Mash’s “keep in touch” list. You are offered the chance to do that when you leave the classes.
I delete the data after one year of your finishing coming to the classes. You always have a right to contact me to ask me to delete your data sooner, and also have a right to view your data record at any time.
FRIENDS OF MISH MASH
When you finish coming to classes, some people choose to stay in touch with Mish Mash, so that I can send marketing information or news about the classes. The marketing information is for classes, parties, workshops or new music. I very rarely send anything out to ex-attendees.
To receive this information you will have needed to Opt in, to receive it.
What is done with my data?
Your data is stored on a secure platform. I have your name and email address, and a record of your consent to be contacted. I use MailChimp to run this mailing list: the information that you provide will be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms.
How long will you keep my data?
I will keep it until you unsubscribe.
Rights in relation to your data:
As well as being able to unsubscribe, you have the right to view your record, or ask for your record to be deleted at any time, and Mish Mash Music will do this for you within one month.
